Hey everyone, Kevin here! Today, we’re diving into how you can supercharge your Excel skills using ChatGPT. If you haven’t heard of ChatGPT, it’s a cutting-edge AI from OpenAI that can do some pretty amazing things. In a previous video, we even used ChatGPT to write a song about the Kevin Cookie Company—spoiler alert: it was a hit!
But today, we’re getting serious (well, as serious as you can get with cookies involved) and exploring how ChatGPT can transform your work in Excel.
Trust me, after this, you’ll never look at Excel the same way again.
Before we jump in, you’ll need access to ChatGPT. Just click on the link above or check the description below to get started. Once you’ve set up an account, you’ll land on a page that looks a bit like a digital candy store for data nerds.
Here I am in Excel, starting with a simple example.
Imagine having all the revenue data from various markets of the Kevin Cookie Company. You want to calculate the total revenue but aren’t sure which function to use. There’s a button up here in Excel for inserting functions, but let’s face it, sometimes it’s about as helpful as a chocolate teapot.
Let’s see if ChatGPT can do better. I type in, “Write an Excel formula to add up values in cells B2 through B10,” and voila, it suggests using the SUM function.
I copy that into Excel, and just like magic, I’ve got my sum. Who knew chatting with an AI could be so profitable?
Back to ChatGPT, I ask it to explain the SUM function. It gives me a thorough breakdown, even showing how to sum up two separate ranges. It’s like having a personal Excel tutor who never sleeps and doesn’t charge by the hour.
Now, let’s calculate the profit—revenue minus cost. Not sure how? ChatGPT to the rescue! I type, “Write an Excel formula to calculate the profit,” and it returns A2 minus B2. Copy, paste, and there it is—the profit for the Kevin Cookie Company.
As I’ve always said, “The cookie business is a sweet deal.”
Next, we tackle something more complex—finding the price of sugar cookies using VLOOKUP, XLOOKUP, or INDEX MATCH. I ask ChatGPT, “Write an Excel formula to find sugar cookie in a table and return the price.” It gives me a detailed explanation and the VLOOKUP function I need. Copy, paste, and I’ve got the price.
It’s like having an Excel cheat sheet that talks back!
Let’s extract the first name from an email address. I could use Flash Fill, but I want to know the formula. I ask ChatGPT for help, and it suggests using the LEFT and FIND functions. Copy, paste, and I get the desired result.
It’s like magic, only better because it doesn’t involve rabbits.
How many unique cookie types do we sell? ChatGPT provides a formula to count unique values. I make a few tweaks, and it tells me there are seven unique cookies. It’s like solving a delicious mystery.
Finally, let’s tackle the big one: writing a macro to send invoices. With ChatGPT’s help, I generate a macro that uses Excel and Outlook to send emails. After enabling the Outlook object library and making a small correction (because even AI can fumble), I run the macro, and emails are sent. It’s like having an assistant who doesn’t mind doing the boring stuff.
Excel doesn’t seem so intimidating anymore, does it?
Whether it’s nested functions or macros, ChatGPT has your back. For more tips and tricks, consider subscribing, and I’ll see you in the next video—or maybe you’ll catch a glimpse of Kevin AI, given how fast AI technology is advancing!
